PDF and image file submission checklist
Checking file size alone is not enough before attaching a PDF or image to an email, application, or online form. Review the recipient’s requirements and the actual output file in order to avoid a failed submission or an unnecessary resubmission.
1. Keep the original separately
Compression, conversion, and page editing normally create a new result, but it is still easy to choose the wrong file or lose track of versions. Keep important originals in their folder and save results in another location. If an original file name contains personal or internal information, rename the submission copy as well.
2. Check the recipient’s rules as numbers
Read requirements such as “PDF only,” “under 10MB,” or “up to five pages” before processing. A 1MB, 5MB, and 10MB limit each require a different result, and email services can have a separate total attachment limit. For images, check whether the recipient requires JPG or PNG; for documents, check whether several files must be merged into one PDF.

- Is the final size comfortably below the limit?
- Do the page count, file count, and file-name rules match?
3. Open the actual result
A file name or size shown in an upload form cannot prove that the content is correct. Open the downloaded result and inspect the first, middle, and final pages. For PDFs, check order, rotation, small text, stamps, and signatures. For images, check orientation, cropping, color, and whether a transparent background is still present.
4. Zoom in after compression
Strong PDF compression can make small text in scanned agreements or certificates difficult to read. Very low image targets such as 100KB can blur faces, logos, and document text. Choose the smallest file that still passes the limit and remains readable, rather than automatically choosing the smallest possible result.

- Review the recipient’s format and size requirements once more.
- Open the output and inspect pages, text, and images.
- Check that the file name does not expose unnecessary personal or internal information.
- After upload, check the form’s displayed file name, size, and preview too.
Keep the confirmation email, submission number, or a screenshot of the completion screen when available. If a technical issue happens, noting the file type and browser will make support and retrying easier.
Frequently asked questions
Can I submit immediately once the file is below the size limit?
File size is only one requirement. Open the result and check that its text and page order are still correct.
Can I delete the original after creating the result?
Keep the original until the submission is accepted. You may need it for an update or resubmission.
